Administrative Operations Manager 

JOB DESCRIPTION 

  

Job Title: Administrative Operations Manager 

Salary: $45,000 to $50,000 according to experience and skills. 

Job Duties  

The Administrative Operations Manager is responsible for Supporting Fundraising campaigns & events, Overseeing Marketing processes (reviewing the website, social media, print & newsletter marketing), Supporting the administrative team of Centro Romero (i.e, internal communication, data entry & maintain the office network equipment in good working order), and Ensuring smooth day-to-day operations & Serving as a main point of contact to Managers & Directors to support the needs of each of the programs/departments of the agency. This position is under the supervision of the Executive Director and Associate Director of Centro Romero. 

 

 

 

Specific Duties include:

 

Fundraising 

•       Coordinates fundraising campaigns 

•       Coordinates fundraising events with others in the administrative department 

•       Works with other departments to develop specific fundraising strategies and campaigns 

•       Provides support with other fundraising activities as assigned by the executive director 

•       Creates unique ideas for future events 

 

Marketing 

•       Keeps branding on track with use of all media and staffing expectations 

•       Updates website, social media, print and newsletter marketing 

•       Creates in-house graphic design work 

•       Develops and implements new marketing plans and materials for campaigns and events 

•       Supervises the staff tasked with marketing, social media, and donor databases in implementing fundraising campaigns 

 

Data Entry 

•       Updates/maintains donor database 

•       Updates campaign fields 

•       Produces lists for mailings and emails 

•       Merges lists with documents (letters, labels, etc.) 

 

 

 

Agency Operations and Communication

•       Be a Liaison to coordinate with upper management to manage agency’s day-to-day operations.

•       Maintains general office functions (i.e, reviewing office supply inventory and ordering, performing regular office rounds to ensure office machines are in order).

•       Facilitates systemic and recurrent communications with the program directors regarding Programmatic needs (i.e, network hardware and software needs).

•       Supports program directors & managers with their program workplans as needed.

•       Participates in regular staff & directors meetings.  

•       Develops and actively participates in staff committees. 

•       Maintains and updates computer network hardware and software in good working order  

•       Serve as liaison officer for developing and fostering cooperation between all organizational stakeholders

 

Performs other duties as assigned.  

 

 

  

QUALIFICATIONS 

 

College diploma, some college preferred and one year of related experience. Database skills preferred and excellent interpersonal and communication skills for interacting with people of different professional and social backgrounds. Must have the ability and disposition to work collaboratively and with diverse groups in hectic environments.  

 

Computer skills: Proficiency with Word and Excel required. Working knowledge of Adobe Photoshop, WordPress, iMovie, Live Streaming Platforms, and Constant Contact preferred. 

 

General Qualifications: 

•       Individual must be creative, resourceful, culturally sensitive, self-motivated, and detail-oriented; can multi-task; have excellent verbal skills and strong writing skills and have the ability to build/maintain interpersonal relationships. 

•       Open to those with a bachelor’s degree or relevant experience in communications, marketing, and/or public relations. 

•       This is a full-time position. Minimum of 40 hours per week, some weekend and evening hours required (Fundraising events, staff events, meetings of the Board of Directors)
